HR Generalist, Philharmonia Baroque
Job Title: HR Generalist
Reports To: Executive Director
Location: San Francisco, CA (Civic Center area)
Status: Part-time, non-exempt, hourly
Work schedule: Up to 20 hours per week, in-office only
Compensation: $25-30 per hour, commensurate with experience

General Schedule
You will be expected to work onsite at the Philharmonia offices in San Francisco 2-3 days a week from 9:30AM-5:30PM.
Position Overview
The HR Generalist at Philharmonia Baroque will serve as a hands-on, proactive partner supporting a full range of Human Resources functions including recruitment, onboarding, compliance, benefits coordination, employee relations, and performance management. This role ensures legal compliance, helps uphold a positive and inclusive organizational culture, and builds foundational HR systems and infrastructure for a growing performing arts nonprofit.
Key Responsibilities
1. Employee Relations & HR Support
• Serve as the first point of contact for day-to-day HR-related inquiries and issues from staff.
• Support supervisors in conducting performance conversations, managing absences, and addressing employee concerns.
• Maintain employee confidentiality while balancing organizational needs and legal obligations.
2. Compliance & Recordkeeping
• Ensure all HR practices comply with California labor law and applicable federal employment laws (including wage/hour, anti-discrimination, and leave protections).
• Maintain and audit personnel files and I-9s; track required postings and labor law updates.
• Partner with bookkeeping service to ensure correct application of wage and hour rules (including salaried non-exempt compliance, time tracking, etc.).
• Partner with finance and artistic teams to ensure appropriate tracking and filing of EDD notices/audits, FTB orders (such as wage garnishments), and similar.
3. Benefits Administration
• Assist with benefits enrollment, renewals, and communication, including 403(b) plan administration for both administrative staff and musician-employees.
• Coordinate leaves of absence (e.g., CFRA, Paid Sick Leave, other protected leave laws), maintaining accurate documentation and communication with payroll.
4. Onboarding & Offboarding
• Facilitate a structured onboarding process including offer letters, background checks, policy acknowledgment, and orientation.
• Coordinate offboarding logistics (exit interviews, final pay, COBRA notices, etc.).
5. HR Policy & Systems
• Help refine and implement HR policies and practices, including updates to the employee handbook.
• Support the development of new processes related to performance evaluations, remote work, training, and DEIA initiatives.
• Maintain accurate data and documentation in HRIS systems (e.g., Rippling).
• Ensure that current job descriptions for all employees are up-to-date and filed properly.
6. Recruitment & Hiring
• Collaborate with hiring managers to support equitable and efficient recruitment practices.
• Draft and post job descriptions, schedule interviews, and help facilitate offer processes.
7. Administrative Support
• In collaboration with insurance broker and finance team, ensure that all company insurance policies are renewed on time and that associated insurance audits and premium payments are managed in a timely fashion.
• Manage annual renewal process for business license, and various trade group memberships.
Qualifications
• 1-3 years of HR experience, preferably in a nonprofit or small organization.
• Strong knowledge of California employment law and HR best practices.
• Experience with payroll systems or working closely with finance teams preferred.
• HR certification (PHR, SHRM-CP) a plus.
• Strong interpersonal skills, discretion, and the ability to multitask effectively.

Compensation & Work Environment
• $25-$30/hour; range commensurate with qualifications.
• Regular in-office presence required for 2 days per week
