Location: Hybrid - San Francisco (in office minimum 2 days/week; 3 days/week during performance weeks)

Reports to: Director of Development

Type: Full time (40 hours per week); non-exempt; some evenings & weekends required

Salary: $30 per hour ($62,400 annualized); plus generous benefits package


POSITION SUMMARY

Philharmonia Baroque Orchestra & Chorale (Philharmonia) seeks a highly organized, collaborative, and strategic development and operations specialist with strong project and people management skills to join its Development team. This role will focus on Philharmonia’s Patron Manager database, its stewardship process, and will provide leadership for Development events. Additionally, the person in this role will manage operational and administrative responsibilities for Philharmonia’s CEO, in Patron Services and Finance, and for the organization overall. The Coordinator should expect to allocate their time approximately as follows:


● Development (70%)

● Finance and Patron Services (20%)

● Executive Support (10%)


This internally and externally facing role will interact with staff, patrons, board members, vendors, musicians, etc. The Coordinator proactively addresses conflicts, process improvements, and organizational efficiency. The Coordinator must be highly organized, comfortable taking direction from multiple supervisors, and capable of navigating complex external relationships. The Development Coordinator is mature, poised, can comport themselves professionally, possesses superior interpersonal skills, and can work effectively and collaboratively in a fast-paced environment.


Development (70%)

  • Manage Philharmonia’s PatronManager database ensuring the highest levels of accuracy and consistency in data entry.
  • Collaborate with the Director of Development to build reports and campaigns in PatronManager that accurately represent Philharmonia’s current contributed revenue, campaign status, relationship management strategy, and offer insight into Philanthropic trends that support increased giving.
  • Ensure accuracy, consistency, and timely sharing of information with Finance Team to support accurate cash flow projections and reconcile PatronManager with accounting software, daily gift logs, and other gift tracking sources;
  • Lead event planning operations including site visits, guest lists, vendor relations, contracts, and licenses, and guest engagement;
  • Track gift status and proactively follow up on outstanding contributed revenue pledges, gifts of stock, bequests, etc.

Finance and Patron Services (20%)

  • Manage financial transactions such as recording checks, coding gifts, deposits, and managing mail/check/transaction logs.
  • Ensure accurate interface between gifts recorded in Patron Services and Development;
  • Provide excellent customer service and information while managing phone inquiries, processing ticket transactions, and supporting subscription and other mailings.

Executive Support (10%)

  • Collaborate with Philharmonia CEO in scheduling key donor and stakeholder meetings;
  • Prepare materials and presentations;
  • Support special projects as needed.

Organizational Overview:

Now in its 44th year, Philharmonia Baroque Orchestra & Chorale (Philharmonia) is one of the largest ensembles of its kind in North America. Philharmonia performs repertoire from the Baroque, Classical, and early Romantic periods. With a specialty in historically informed vocal and orchestral performance and new music, Philharmonia presents a Bay Area signature season of mainstage concerts in four local venues, at least 8 annual off-season programs, including large-scale opera productions, alternative offerings such as SESSIONS and Jews & Music, commissions new works regularly through its long standing New Music for Old Instruments program, and maintains a robust national and international touring schedule. Philharmonia also produces a comprehensive suite of education programs for youth and adults. The ensemble has appeared at Lincoln Center, Disney Hall, Yale’s Norfolk Chamber Festival, among many others. In 2020, Philharmonia won the San Francisco Classical Voice award for Best Opera in the Bay Area for its acclaimed production Aci, Galatea e Polifemo. Philharmonia maintains deep artistic partnerships and relationships with the Mark Morris Dance Group, Davóne Tines, Tarik O’Regan, Anthony Roth Costanzo, Errollyn Wallen, Matthew Aucoin and the American Modern Opera Company (AMOC) and was the first orchestra in the Bay Area to commission Caroline Shaw to compose four acclaimed works. The organization maintains a partnership with The Juilliard School’s Historical Performance division now seven years running, and engages with the conservatory in coaching, mentoring and side by side performances featuring Orchestra members and students. The ensemble has made more than 50 commercial recordings and has its own record label.
